Online Registration System - NM EDGE

Summary

New Mexico Education Designed to Generate Excellence in the Public Sector (NM EDGE) holds trainings for public service professionals all over New Mexico. We were able to help NM EDGE increase enrollment and decrease travel with the introduction of the online registration system.

Problem Statement

The client must organize trainings and hold registrations, throughout the state of New Mexico, with minimal staff. In addition, the client needed a more efficient method of keeping their data: registrations, invoices and payments, course catalog, and student completion records.

Solution

Our solution for the client was to build an online registration system consisting of student and admin portals. The student portal handles student enrollment, registration, and order processing in a self-service manner. The admin portal includes administrative versions of all the student features as well as course catalog maintenance, event scheduling, student completion data, and accounting reports.

Results

This system was implemented in multiple phases in order to address time and budget constraints. Construction began in Spring 2009 and continues grow with new features being added semi-annually. The system was able to replace a resource heavy online ordering system and improve error prone data management practices.

In working with the client, we were also able to identify the need for a new method of purchasing which would allow government entities to make bulk purchases at a discount and distribute the items to their staff. This has improved training attendance and revenue.

In addition to improvements in attendance and revenue, the system has also given the client a reliable source of data management. Previously, data was stored in Excel spreadsheets and littered with errors, inconsistencies, and missing data. They now enjoy historical archives, consistency, accuracy and automated data movements. Among other benefits, this may be the most important because it gets the client one step closer to accreditation.
